The primary duty is to coordinate activities of the Change Inc Community Mental Health Clinic. These include room scheduling, referral management, on-site training coordination, and data entry/monitoring support. The position will also service as liaison to the Change Inc. Board of Directors and support committee and Board meetings.

Essential Responsibilities:

1. Serve as Change Inc. Receptionist

o Welcome guests and clients

o Set tone for office and provide good first impression of the organization

o Maintain general upkeep of the premises

2. Organize and coordinate office operations and procedures

o Maintain Clinic referrals from website, phone calls, outside and internal providers

o Maintain monthly referral availability from participating Co-op and SBMH therapists

o Oversee Docusign for new client intake paperwork, credit card authorization on a daily basis, checking to see where needed follow-up exists, communicating to therapists as needed, and attaching completed documents to client file

o Coordinate scheduling of building resource use including therapy spaces, conference rooms, and any additional shared space

o Answer basic questions and redirect more complicated questions to billing department

o Coordinate training room schedule and support events

o Fax medical record documents as requested within established timeframe (determined by HIPAA protocol)

Qualifications:

§ Associate's Degree preferred; High School Diploma required

§ Demonstrated customer service experience and mindset

§ Demonstrated ability and skills to use Microsoft Suite 

§ Experience with data management CRM, EMR or Donor Database 

§ Demonstrated ability to communicate in a diverse cultural environment

§ Demonstrated ability for cultural competence

§ Able to pass criminal and sex offender background checks, after a conditional job offer
